Privacy Notice

OwnersDeed is the owner's own record of a home build. That record is yours. This notice explains exactly what we hold, where it sits, who else touches it, and how to take it back or delete it.

OwnersDeed is currently in beta. Data may be deleted at any time, without notice, while the product is being built. Please don't rely on it as your only copy of anything that matters.

1. What we collect

Your account

You sign in with Google. We receive your email address, display name and Google account identifier. We never see or store your Google password.

What you put in the record

Everything in your build record is information you enter or upload:

Photo location (mobile only, optional)

When you take a site photo on a phone, the app asks for location permission so the photo can be geo-tagged — a photo that can prove where it was taken is worth more in a dispute. The coordinates are stored with that photo's record. Decline the permission and capture still works; the photo simply has no location. We do not track your location at any other time.

OwnersDeed runs on Google Firebase. Your records live in Cloud Firestore and your files in Cloud Storage, both on Google Cloud infrastructure in the United States. If you use OwnersDeed from outside the US, your information is transferred to and processed in the US.

Access is scoped per owner at the database level: security rules restrict every record to the account that owns it, so one owner cannot read another's home. Uploaded documents are hashed when stored, and the app can re-check that hash later so you can show a file hasn't been altered since you filed it.

AI requests go through our own server, which holds the API credential — your device never carries a key, and we send only what the specific request needs. Anthropic processes that text to return a result and, under its commercial API terms, does not use it to train its models. Nameplate and label scanning runs on your device using on-device text recognition; those images are not sent anywhere for OCR.

4. Why we're allowed to hold it

We process your information to provide the service you asked for — that is, to perform our contract with you. Where we rely on your consent (photo location), you can withdraw it at any time in your device settings. Where we keep records to meet tax or accounting obligations, we rely on our legal obligations.

5. How long we keep it

Your record is meant to outlive the build — that is the point of the product — so we keep it until you delete it. Delete your account and we delete your records and files. Backups and logs may retain copies for a short period before they age out.

Data is encrypted in transit and at rest by the underlying platform. Access is restricted per owner by database security rules, and evidence files carry integrity hashes. No system is perfectly secure, and we won't pretend otherwise; if a breach affects your information, we will tell you.

8. Children

OwnersDeed is for adults managing a home build. It is not directed at children and we do not knowingly collect information from anyone under 18.

9. Changes

If this notice changes materially, we will update the effective date above and tell you in the app before the change takes effect.
